Undergraduate Hiring Process

Step 1: Faculty and Student Responsibilities

The faculty member and the student will need to fill out the following forms:

  • Form 1: Basic information form including the student’s full name, Student ID, email address, job title (e.g., Undergraduate Research Assistant), supervisor's name and emplid number, rate of pay, MoCode to charge, and approximate hours per week. Ideally, the student fills out the form, and it gets forwarded to the advisor, who can add the remaining details.
  • Form 2Student Employment Application, completed by the student.
  • Form 3Student Training Acknowledgement Form, completed by the student.
  • Form 4: The student should download the Student Employment Guide, which includes a list of I-9 documents.

Once these forms are ready, they should be submitted as a single file to David Basford or Robyn Collier.

Step 2: Department Responsibilities

  • Verify the student’s enrollment and eligibility.
  • Check the student’s previous employment status and ensure the student does not exceed the 20-hour weekly limit.
  • Enter an ePAF.

Step 3: HR and Student

  • The student will receive an automated email from umpshrsupport@umsystem.edu with five onboarding steps.
  • Once the student completes HR documentation, HR will execute the ePAF.
  • The next day, the student can log in to myHR to access their timesheet.
  • The student must complete the training referenced in the Training Acknowledgement Form. 
  • The student may not begin working prior to submitting their I-9 documents to HR.
